We use your personal information for:

• Scheduling and providing bone density assessments

• Processing payments and issuing invoices

• Communicating with you about appointments or enquiries

• Using your personal data to generate clinical letters and clinical reports with Voice-to-Text software such as Heidi and the Olympus dictation App, which operates on a secure platform designed to ensure the privacy of your data

• With respect to Heidi

  • Audio recordings are deleted immediately after transcription

  • Transcribed notes are encrypted (in transit and at rest) and stored on Heidi servers located in Australia.

  • The storage complies with Australian Privacy Principles and aligns with New Zealand’s Privacy Act 2020.

  • Practitioners can control retention periods for transcribed notes.

  • Data is not used for AI training or any other secondary purpose.

• With respect to the Olympus dictation App using ODMS cloud

  • ODMS Cloud is hosted on Microsoft Azure, and for customers in New Zealand, the data is stored in the Australia Azure region. 

  • Cloud provider: Microsoft Azure

  • Region for NZ users: Australia (Azure regional infrastructure)

  • Security: End-to-end encryption, HTTPS, and optional AES-256 pre-encryption for files.

  • Dictation files are stored in the ODMS Cloud for 90 days from the date of upload. After this period, they are automatically deleted from the cloud storage.

• Complying with legal and health record obligations

4. How We Collect Information

We collect information:

• Directly from you (e.g., when you book an appointment or fill out forms)

• Automatically via cookies and analytics tools when you use our website

5. Sharing Your Information

We do not sell your personal information. We may share it with:

• Health professionals involved in your care

• Service providers who help us operate our business (e.g., IT support, payment processors)

• Authorities if required by law

• Overseas recipients only where protections equivalent to NZ law apply

6. Security

We take reasonable steps to protect your personal information from loss, misuse, or unauthorized access, including secure storage and encrypted systems.
